Client Experience Coordinator,
Part-Time

211 Ossington Ave, Toronto, Canada admin@parkmedicalaesthetics.com

Who we are

Park Medical Aesthetics is an independent, doctor-led clinic at 211 Ossington Ave. since 2023. Our team brings together doctor, nurse and medical aesthetician expertise, providing injectables, skin treatments, and skincare. We work from a goal-driven, educational approach so clients understand what we’re recommending and why.

We believe aesthetic medicine should feel welcoming and approachable. We serve people of all genders, ages, facial structures, and skin tones, and we take the time to understand each person before recommending anything.

The role

We’re looking for a part-time Client Experience Coordinator to be the person who keeps our clients connected to Park, and keeps our clinic running smoothly. While you’ll be based at the front desk and the face clients see when they arrive, your focus is looking after our clients across their whole journey with us: a warm welcome when they arrive, a thoughtful check-in after their visit, and staying connected between appointments so they always feel cared for. You’ll answer questions by phone, email and text, reinforce aftercare, and help clients stay on track with their skincare and treatment plans.

You’ll also help keep clinic days organized. That means managing the appointment book, keeping client records up to date, and supporting conversations between providers and clients. You’ll process payments, track retail inventory and keep our shelves stocked.

This role is ideal for someone who has experience in this industry who’s passionate about skin health, aesthetic treatments, and creating exceptional client experiences.

What you’ll do

Client care & relationships

  • Look after clients across their whole journey with Park: check in after treatments to see how they’re feeling, and help them stay on track with their skincare and treatment plans.

  • Be a familiar, trusted point of contact for clients.

  • Stay connected with clients between visits.

  • Reinforce aftercare and answer questions so clients feel supported between visits.

  • Make it easy for happy clients to share their experience with others.

Administration & clinic support

  • Manage the appointment book: bookings, confirmations, and cancellations with accurate client records and notes.

  • Help keep the appointment calendar organized and running smoothly.

  • Process payments and keep retail products stocked and inventory up to date.

  • Support day-to-day clinic operations and help with occasional events.

Front desk

  • Welcome and prepare clients for consultations and treatments.

  • Answer questions and handle client inquiries by phone, email and text.

  • Set the tone at the desk - calm, organized, and attentive - so every client feels well looked after from the moment they arrive.

  • Keep the space tidy and clean.

Who you are

  • You’ve worked in medical aesthetics, or a comparable clinic in a medical or health-and-wellness setting, and you’re able to exercise discretion and remain sensitive to client privacy.

  • You’re good with people, with strong follow-through; you take pride in making clients feel well cared for.

  • You’re reliable and professional. We can count on you to show up, follow through, and represent the clinic well.

  • You’re organized and detail-oriented, and you stay composed in a busy environment.

  • You’re keen to keep learning about the industry.

  • You’re confident with scheduling and digital tools (we use Zenoti and GSuite) or can pick them up quickly.

  • Training in medical office administration or related fields is an asset. WHMIS and AODA knowledge is a plus.

Schedule & Commitment

This is an in-clinic role, 3-5 days per week, within our clinic hours. Our hours vary day by day, but shifts fall between 9:30am-7:30pm. It may include some Saturdays, though not every weekend. We’re looking for someone who can commit to a consistent schedule reliably.

Why Park

  • We’re an independent, doctor-led business that is growing, and you’ll be an important part of that growth. For the right person, the role can develop into greater responsibility over time, including a path toward clinic operations as the business expands.

  • Employee discounts on treatments and professional skincare.

  • Ongoing education and career development support.

  • A warm, professional and elevated environment, working alongside a medical team.

Job Type

Part-time (3-5 days per week).

Pay
